Data protection by design and by default
To comply with Article 25 of the GDPR, which provides for the principle of «privacy by design & by default,» we have updated the data model management section of Smartprofile. Thus, the feature for configuring personal data for your account now also allows:
Integrate the strongest data protection measures upstream, right from the design of your project. The aim is thus to minimise the values collected in the solution with more restrictive formats (example: birthday date fields: day and month without year if it is not necessary).
To ensure throughout the project the most protective measures for hosted personal data, such as the implementation of an ultra-secure password policy, the establishment of data controls or access, or finally the limitation of data lifespan.
To go further, we have implemented the management and configuration of the following processes for all data in Smartprofile.
To ensure that Smartprofile is fully compliant with your personal data management policy, we have updated our platform.
This update consists of the management of the data collected and managed in Smartprofile so that the management of each data associated with your processes is in accordance with the following main principles of the GDPR.
Anonymization
The data held in the database and linked to a natural person can be anonymised on a personalised basis. This ensures the protection of individuals while retaining the ability to access statistics or historical data that can no longer be linked to a person.
Automatic processing is carried out daily to apply these rules and to ensure that the settings are correctly taken into account.
Archiving
In the same way, a tailor-made archiving process has been implemented to store data separately and in an inaccessible manner because it is no longer of interest but cannot or should not be immediately deleted.
The length of time from which the data are archived is variable and depends on the nature of the data and the purposes of the processing.
Purge
A data purging process has also been developed, allowing for the configuration, for each piece of data, of a timeframe for its total and definitive deletion. Therefore, data will be purged, meaning permanently deleted from the database, after x days, weeks, months, or years.
This delay is fully configurable to match your policy.
This process also allows, by purging data from the database and archives, to be able to semi-automatically trigger the erasure of data relating to an individual upon their request under the right to be forgotten.
Who owns the data?
Contractually, Smartprofile acts as a subcontractor on behalf of our customers on whose behalf the solution is deployed.
Therefore, the data collected in Smartprofile is the sole and full property of our clients, who act as data controllers within the scope of the service we provide.
The entirety of the data collected and processed by Smartprofile therefore belongs to our clients, who have exclusive ownership, control and enjoyment of it.
We are committed to never transmitting or communicating the data collected on behalf of a client to a third party, except at their express request, particularly in the context of certifying their audience with the ACPM.
What are the rights of users?
With the GDPR, users have rights to manage their personal data:

Users of Smartprofile can request access to view, modify, or delete their data, or to exercise their right to be forgotten. These requests should be made either to the user (company) that collected the data or directly to Smartprofile at contact@nsp-fr.com.
